Oklahoma Goodwill Industries, Inc.
Executive Administrative Assistant
This position reports to the President/CEO and is responsible for providing secretarial and administrative support to the President. The position is one that requires confidentiality as well as an understanding of the Goodwill Mission. Responsibilities are performed under limited supervision.

ESSENTIAL JOB FUNCTIONS:
· Opens and reads incoming mail, determine and initiate required action, or routes mail to appropriate party for response.
· Responsible for ordering office supplies for all departments
· Maintain listing of all cell phones and review billing monthly
· Arrange all computer / telephone service request by calling the appropriate contact
· Enters incoming checks into a spreadsheet then forwards to accounting for deposit.
· Take minutes at scheduled Board and Committee meetings as required. Prepare written minutes from these notes for approval.
· Prepare correspondence and reports as requested verbal, email or written.
· Receives and assists visitors and telephone callers to the President’s office and provided them with necessary information or refers them to appropriate party.
· Preparation for scheduled Board meetings and Committee meetings to include: assist in preparing agenda, materials, reminder emails, lunch or snacks if requested
· Develops and maintains President office files and records management systems. File all documents for easy retrieval.
· Arranges travel plans and itineraries and prepares expense reimbursement forms.
· Maintains appointment calendar for the President
· Acts in President’s absence to assure matters requiring attention are referred to the Vice President or other designated authority to handle in an efficient manner.
· Assists in coordination of special projects pertaining to civic, social, and other Goodwill related events.
· Perform related responsibilities as required or assigned.
· Abides by the policies and procedures as set forth by management and Board of Directors of Oklahoma Goodwill Industries, Inc.

ADDITIONAL RESPONSIBILITIES
· Performs other duties as required

RELATIONSHIPS:
· Works with all levels of company management. Supervisor normally is available for problem resolution. Works with all levels of outside management representing the company. Requires clear cooperative verbal communications with customers and general public.

SKILLS NEEDED:
· Reading, writing, and comprehension skills normal to a high school or higher education.
· Ability to handle word processing, spreadsheet, files, and MS Word, Excel and email.
· Ability to perform basic mathematical computations.
· Ability to type at least 40-70 wpm as might be required in typing a variety of lengthy or detailed memoranda, correspondence, or reports.
· Effective oral and written communication skills.
· Ability to work independently and exercise initiative and good judgment and ability to make decisions on items of a confidential nature.
· Demonstrate dependability through good attendance and adherence to timelines and schedules

EDUCATION/ EXPERIENCE:
· High school graduate or equivalent
· Knowledge of general administrative and clerical methods and procedures as might normally be acquired through three years of related work experience.

JOB CONDITIONS:
· Works in climate controlled atmosphere majority of time.
· Requires some local travel providing own transportation.

PHYSICAL EFFORT:
· Requires little physical effort.
· Requires working a 40-hour week with a variable schedule and some overtime.
